Position Title: Marketing and Gallery Coordinator

Position Type: Part-Time, Hourly - 20 hrs per week 

Compensation: $18 - $20/hr, plus benefits including health insurance, generous PTO, and 14 paid holidays

Location: Pendleton, OR. This is not a remote position

Schedule: Fall/Winter (November-March): Tuesday - Friday

Spring/Summer (April-October): Friday - Monday (weekends required)

Occasional evenings may be required for meetings and events. 

This schedule may change based on business needs

Crow’s Shadow Institute of the Arts (CSIA) provides a creative conduit for educational, social, and economic opportunities for Native Americans through artistic development. Its vision is to elevate and illuminate the world through the genius of Indigenous creativity.

 

Position Overview

CSIA is seeking an outgoing, detail-oriented, creative candidate to be our Marketing and Gallery Coordinator. The Marketing and Gallery Coordinator reports to the Executive Director, and is responsible for maintaining the day-to-day operations of the Crow’s Shadow gallery,  as well as working with leadership to promote the mission, programs, and initiatives of Crow’s Shadow to the public.


Job Description:


Marketing Duties:

  • Work with the Executive Director to develop and implement the annual marketing plan

  • Coordinate with Studio, Traditional Arts, and Development staff to ensure programmatic marketing and communications needs are being met

  • Create and maintain a comprehensive list of promotional outlets, and ensure all events are communicated to the public in a timely manner through those outlets

  • Create and send digital newsletters, and maintain associated mailing lists

  • Work with the Executive Director to write and distribute press releases and associated material

  • Create and maintain media contact lists

  • Regularly review and make updates to the Crow’s Shadow website

  • Develop, curate, and post engaging content for social media platforms 

  • Create and maintain a marketing and social media calendar

  • Attend events to gather photos and video to produce content, including live content

  • Maintain unified brand voice across different marketing and social media channels

  • Create a monthly marketing report to be presented to the Board of Directors

  • Other duties as assigned


Gallery Duties:

  • Answer phones, greet walk-in visitors, schedule and give gallery and studio tours

  • ​​Work with the Studio Director and Executive Director to identify new and cultivate existing sales opportunities (private, academic, and institutional)  

  • Update interest lists and maintain contacts in art management database for print sales

  • Process payments and receipts for sales 

  • Track invoices and purchase orders for artwork sold 

  • Update inventory records in database

  • Coordinate with Shipping Manager to arrange packing and shipping of sold artwork 

  • Upload newly published prints to the website, ensuring all new works are synced with the artist page and available for purchase

  • Digitally document existing artwork inventory, maintain appropriate files

  • Work with Studio staff to periodically rotate featured artwork in the gallery

  • Work with the Studio Director to manage custody and tracking of pieces lent for exhibitions. Check pieces in and out of the permanent collection, assessing for and noting wear and tear

  • Maintain cleanliness and order of public-facing spaces

  • Create a monthly sales and visitor report to be presented to the Board of Directors

  • Other duties as assigned 



​Skills, Abilities, and Qualifications:

  • Previous experience in an art gallery or other fine arts environment desired

  • Previous sales and/or customer service experience preferred

  • Previous marketing experience preferred

  • Some photography and graphic design experience preferred

  • Excellent organization skills

  • Excellent communication skills, both written and verbal

  • Positive attitude and willingness to take on new and varied projects to contribute to the success of CSIA

  • ​​Experience working with culturally diverse communities is highly desirable, with an emphasis on Native and Indigenous connections and communities

  • Ability to represent the organization in a positive, professional manner to all constituents, the media, and the general public

  • Ability to work independently, complete tasks, and meet deadlines

  • Ability to keep sensitive information in strict confidence

  • Comfort with technology, including Google Workspace, email, and calendar software

  • Ability to work in person in an office and gallery environment, which may include sitting, standing, walking, and lifting up to 25lbs
